General Role Description:

The successful applicant will be responsible for managing and coordinating all day to day operational and customer facing activities within our head office.

The successful applicant will need to be a good business leader as well as operational staff member. They will be responsible for working with the company executives and managers to ensure the accurate, timely and efficient delivery.Operating at the centre of the business, the candidate must be highly professional and have extraordinary communication skills

Key Role Functions:

  • Staff management
    • Manage the team responsible for:
      • Order Processing
      • Stock Control
      • Dispatch and Logistics
      • Office Admin
      • Customer facing Technical Support
  • Order processing Procedures:
    • Manage and Review incoming orders
    • Sales order log, weekly sales number reporting
    • Customer Service Relationships
    • Process and despatched orders in an accurate and timely manner
    • Dealing with commercial issues related to orders and Quotations
    • Order queries
    • General product compatibility and availability queries
    • Customer returns
      • Manage incoming returns
      • Produce credits or goods returns
      • Mange the returns reporting process and KPI's
  • Purchasing and Inventory Management
    • Manage all elements of stores function
      • Inventory Control
      • Min Stock levels
      • Stock taking and Accounting adjustments
      • Stores Hygiene and H&S
      • Packaging, packaging materials, processes
  • Purchasing and Forecasting
    • Collation of customer and liaison with internal sales team forecasts
    • Management of stock forecast model for calculations on stock requirements
    • Ordering of standard stock items in line with forecasting
    • Quotation and Ordering of special stock and non-stock items items
    • Supplier relationships, liaison and negotiation
  • Pricing
    • Customer Pricing - Working with Sales manager to:
      • Manage Master pricing document
      • Manage price calculator spreadsheet
      • Price list production, issue and control
  • Logistics
    • Relationship and Negotiation with Couriers and suppliers
    • Documentation for export clearance and commercial invoicing
    • Queries with missed or wrong deliveries
    • Special arrangements for unusual and special deliveries
  • PA Duties
    • Senior Staff Travel arrangements and Logistics
      • Flights, Accommodation, transfers etc
      • Visas
    • Confidential admin duties
    • Works functions, Christmas party, Staff Dinners, Guest Visits

Key Required Skills:

  • Excellent communication skills
  • High Level of English language skills
  • Ability to think creatively and innovatively
  • Happy to travel occasionally and work in different countries and company offices
  • Budget-management skills and proficiency
  • Professional judgment and experience
  • A high level of IT skills
